The Data Room: where documents live

The Data Room is the one place your company's documents live. It holds your contracts and invoices first, then every other kind of document a module draws on. It belongs to your company rather than to any module, and every module reads from it.

Contracts and Agreements, and Invoices

The Data Room has two sections to begin with. Contracts and Agreements holds any document that sets a price or terms: an order form, a statement of work, a price list, a lease, a PEO agreement, an engagement letter or a renewal notice. Invoices holds the invoices you received from suppliers and the ones you issued to customers.

A document Ressura cannot yet place appears under Other documents until a module reads it. Rows a Connection brings in, such as invoices from Xero, are listed with the Connection that delivered them.

Adding a document

Open the Data Room and choose Add to Data Room. Upload PDFs from your computer, or pick files from a Google Drive folder you have connected. Only PDFs can be added today, and a Drive file over 20 MB, or one you cannot download, is left out with the reason shown.

Each document you add costs 10 credits, whether you uploaded it or a Connection delivered it. Ressura reads the document, pulls out its prices, quantities and terms, and shows Needs review beside anything it could not read, rather than guessing. Once a document is in the Data Room, every check that reads it is free, and running a module's Controls again on the same documents costs nothing.

Where a document came from

Every document has an origin. It was either Uploaded by a person on a given date, or Connected from a named Connection. The Data Room shows the two apart, so you can always tell what arrived on its own from what somebody added by hand.

A document imported from Google Drive keeps its Drive path, its version and the name of the person who selected it, with a link that opens the original in Drive. A row from Xero keeps the date Xero last updated it and the date Ressura fetched it, with a link that opens the row in Xero.

Reading a document

Open a document to see its Overview: its type, the Control it is linked to and, for a Drive import, its Drive details. Artifacts lists the file and the text Ressura extracted from it, which you can read or ask to have extracted again. Controls lists the checks that read this document, whether Ressura has yet extracted from it what each check needs, and lets you run one and read its result.

Documents and modules

Each module has a Data Room tab of its own, showing the documents it has drawn on, and from there you can link a document the module has not used yet. Procure-to-Pay reads your agreements and the invoices your suppliers sent you. Order-to-Cash reads your customer agreements and the invoices you issued. Removing a document from one Control excludes it from that check only; nothing is deleted from the Data Room.

What sits beside it

The Data Room holds documents. Records hold who: the suppliers, customers and other subjects your documents mention. Organisational context holds what you have told Ressura about your company.
